For HCC, they include LTC & AL data. Group home, family care home, and private beds in addition to public beds. Recently they have started collecting additional data points that are more detailed.
Basic Workflow → How do they collect their data currently? They send out a spreadsheet w/ a generic template that they send out to the HAs. The spreadsheet has some pre-populated fields - HAs review and update the fields they need to, and send it back (email?). Once they receive the template from the HAs, HCC puts them all into a single excel file. Put it into an SQL database (3 tables). Compares the data they receive in the spreadsheet to the data that’s in the bc data catalogue (subtract non-zero values).
AL is uploaded every two weeks (Scott downloads most recent one)
LTC catalogue is updated less frequently so Scott has to reach out to
Who inputs that data into the bc data catalogue? A different group within the HAs upload to the catalogue.
why do we need bc data catalogue? has its data limitations. there are 2 different legislations (only the LTC act is covered in the catalogue; the Hospital Act is not covered within the catalogue).
If Scott finds that any discrepancies exist, he follows-up with the HAs.
what do they do with the data? They have summary reports that they report out to executives (using powerBI)
they also receive adhoc requests (every week). They usually come from outside of HLTH (gov’t public sector) and external gov’t agencies as well.

Key Takeaways
What is HCC’s immediate expectation with the project? Helen would like as much as possible to do the automation. Recently, when comparing their data with other databases, Helen doesn’t know whether or not those databases can be uploaded directly to SQL without having the manual entry (TBD - Miranda)
Scott’s concern → It wouldn’t be good to send the HAs a flag on every single item. Unfortunately, with this dataset, there is still a level of manual process in terms of validation.

Scott will send us a list of folks we can get in touch with for the HAs and the current template.
Check on the ALR (historical, 2011 - 2020) once or twice a year. Might need this for adhoc requests. They want a more holistic view of LTC/AL data across the province.
