Supervisor User Manual

 

As you read this user manual, we highly recommend having your Supervisor Portal opened alongside it. This will allow you to easily navigate the Portal as you learn.

 

The Supervisor Portal is designed to help supervisors track their employees who wish to return to CORE for the upcoming year. It enables supervisors to approve or decline their employees’ CORE recommitment requests. This manual will provide step-by-step instructions for supervisors on how to effectively use the portal to manage these tasks.

What is recommitment and why does this matter to me as a supervisor?

In the CORE Team program, recommitment refers to the process by which CORE Team members renew their membership for the upcoming year. If a member wishes to recommit to CORE, indicating their desire to return to the program as an active, deployable member for the following year, they must submit their decision and obtain supervisor approval. Supervisor approval is required annually for recommitment.

With the newly implemented CORE recommitment process, supervisors of CORE members will now be directly notified via email when an employee has submitted their decision to return to CORE. Using the new Supervisor Portal, supervisors can directly approve or decline their employees' recommitment requests. This streamlined process eliminates the need for members to manually reach out to supervisors and provide proof of approval, making the process more efficient and straightforward.

Please note that recommitment start and end dates vary each year. Please refer to the data listed in the email that you receive.

 

 

🖥️ A Closer Look at the Supervisor Portal

Supervisors will be directed to the home page (left) after logging into the portal with their IDIR.

  1. User Profile Menu: Click the profile icon located in the top right corner of the page to open the profile menu. This menu provides a quick way for users to log out.

  2. Home Page Banner: Provides general instructions on required tasks needed to be done by the supervisor and the deadline. as well as other details.

  3. FAQs: Click “Show FAQs” to expand and see more information about CORE recommitment. To collapse these details, click “Hide FAQs”.

  1. System Message Banner: Displays important messages about recommitment. Different messages will also be displayed here after you approve or decline an employee’s recommitment request. To dismiss a message, click the X on the right side of the banner.

  2. Pending Member List: You will be able to see all your employees who are part of CORE in this table. You can track their recommitment requests and statuses, as well as approve and decline their requests here.

Recommitment Status Definitions

Pending This means the member has not yet confirmed of their recommitment decision to a CORE program yet. At this time, you cannot provide approval for or decline the member’s recommitment.

Requested This means the member has confirmed their interest in recommitting to a CORE program. At this time, you can provide approval for or decline the member’s recommitment.

DECLINED BY MEMBER This means the member has declined their own recommitment to a CORE program. At this time, you cannot provide approval.

DECLINED This means you have declined the member’s recommitment to a CORE program.

RECOMMITTED This means you have given approval for a member’s recommitment to a CORE program and they will be returning to CORE for the upcoming year.

When a supervisor declines a member’s recommitment request to a CORE program, they must submit their reason through this survey. Both CORE coordinators and the member will be notified of the supervisor’s decision, but only coordinators can see the reason for the decline.

  1. Member Name Field: Displays the name of the member whose recommitment you are declining. Not editable.

  2. Recommitment Year Field: Displays the recommitment year. Not editable.

  3. Program(s) Declining Field: Displays the program(s) for which you are declining the recommitment.

  4. Reasons Dropdown Field: Allows you to select the reason for declining the recommitment.

 

✅ How to Approve/Decline a Member’s Recommitment

 

Portal Access and Login

You can access the supervisor portal in two ways.

  1. Navigate to the CORE Team application portal.

  2. Log in with your IDIR to enter portal.

  1. You will receive a recommitment request email when a member confirms their recommitment.

  2. In the email, click “Go to Supervisor Portal”.

  3. Log in with your IDIR.

 

 


I want to approve a member’s recommitment to a CORE program.

 

 

 

  1. From the portal Home page, navigate to the member whose recommitment you want to approve in the “Pending Members List”.

  2. In the same table row that the member is in, click open the dropdown field under the “Supervisor Approval” column. Note that you can only take action towards members whose recommitment status is “requested”.

     

  3. From the dropdown menu, select “Approve”.

     

  4. Click “Submit”.

  5. The member’s recommitment status will change to “Recommitted” and a submission confirmation message will appear in the banner above the table.

 

 


I want to decline a member’s recommitment to a CORE program.

  1. From the portal Home page, navigate to the member whose recommitment you want to approve in the “Pending Members List”.

  2. In the same table row that the member is in, click open the dropdown field under the “Supervisor Approval” column. Note that you can only take action towards members whose recommitment status is “requested”.

  3. From the dropdown menu, select “Decline”.

  4. Click “Next” to go to the “Reason for Declining” survey.

     

  5. In the survey window, click to open the dropdown menu at the bottom of the survey.

     

  6. From the dropdown menu, select your reason for declining this member’s recommitment. Only you and the coordinators can see the reason for the decline.

    1. If you selected “Other”, you must provide additional comments in the box that appears below.

       

  7. After all the required fields are completed, click “Submit Reason”.

  8. The member’s recommitment status will change to “Declined” and a submission confirmation message will appear in the banner above the table.

 

 


I previously declined a member’s recommitment. Now I want to approve them to the CORE program.

 

  1. On the portal Home page, navigate to the member whose recommitment was previously declined.

     

  2. In the same row, click “Unlock” to re-open the dropdown field for the member.

  3. Open the dropdown menu and select “Approve”.

     

  4. Click “Update” to submit approval.

     

  5. The member’s recommitment status will change to “Recommitted” and a submission confirmation message will appear in the banner above the table.

 

 

🗓️ What to do if you missed the recommitment deadline for approval

 

Reactivating Recommitment

If you fail to give supervisor approval to a member’s recommitment request, or the member fails to submit their recommitment decision before the initial deadline, their status in CORE Team will be automatically changed to “inactive” once the recommitment period ends. The member can then choose to reach out to their CORE Team coordinator to reactivate their recommitment if they still wish to return. In this case, it is still expected that you and your employee to first discuss the possibility of returning to CORE Team before reaching out for recommitment reactivation.

 

What happens after member’s recommitment gets reactivated?

Once the CORE Team coordinator reactivates your employee’s recommitment, they will receive a new email with instructions and a new link to submit their recommitment decision in their member dashboard. Once they submit their decision to recommit, you will receive their recommitment request in the supervisor portal. To approve it, follow the same steps in Approving Recommitment to a CORE Team program to complete this process.
