    Staffing Plan

    Currently Collected

    • VIHA gets staffing plans annually. Equal allocation for most sites though there are a handful of sites that are not. There are a few specialized beds which use a different tab. They receive that annually. For YTD ending, they receive their actuals via the quarterly reporting (fairly high-level).

    • VCH receives staffing plans annually for all the beds in the facility.

    • IH receives it quarterly. The plan provides them with some useful details that are not contained in the quarterly reporting.

      • Impact of not receiving it quarterly. Clinical operations folks typically like to see the level of detail. Not a huge issue from main accountabilities standpoint, but for the purpose of quality of care for clinical ops, there may be some impact there.

        • IH would like to maintain the level of detail currently collected, so they can see changes (staffing shortages).

    • FHA receives staffing plans annually.

    • Staffing details

      • IH’s plan is the most detailed, therefore, decision to go with this template.

        • Broken down by non-DCH vs. DCH. Also collecting duties of care for certain positions (i.e. RNs when doing their admin work). This breakdown enables clinical ops folks to have conversations about DCH.

      • VCH - fairly detailed and similar to IH’s.

        • % of Allied Workers Not Backfilled. When allied are on vacation, they are not always backfilled. This attribute is necessary for VCH to capture as it better informs the accuracy of the 3.36. Further discussion required for this data point to be added to IH’s template.

      • FHA - does not collect support hours, therefore this will be net-new ask.

    • Administration Section in IH’s template

      • Ensure this section is labelled properly. Only complete this section if split between DCH and non-DCH exist (FHA and VCH wouldn’t need to fill this out), as it is specifically for the leadership positions (i.e. site leadership positions) where this split likely to occur.

      • Improving the usability of this spreadsheet should be an area of focus moving forward.

    For Further Discussion

    • DCH staffing: MoH needs to know the labour hours and the cost associated to DCH.

      • For VCH, it is difficult to get that breakdown info between OT at 1.5 and OT at 2.0.

      • Potential change → create a separate item called Agency for contracted services that are still paying significantly more. Will likely need to separate this out and provide further clarification.

    • Review staffing plan, HPRD definition and direct staffing tab and provide any feedback to Bonnie.

    • Allow ~10 min for SS to pose some questions to the HAs regarding the sector engagement strategy.
